Dimension 3: Total Cost of Ownership—Cheaper Isn't Cheaper

Quoted price vs. total cost. This is where the "cheaper" option usually falls apart.

Say you save 15% buying from a reseller. Then you need a calibration certificate. That's $200 and two weeks. Then the device needs a software update. The reseller doesn't have access to the factory update files. Then you need a replacement part. The "compatible" part doesn't fit quite right. Your biomed engineer spends three hours making it work. That's three hours they could've spent on something else.

That 15% savings? Gone. Plus a headache, plus a delayed project, plus a relationship with your biomed team that's now slightly strained.

I ran this exact calculus on a patient lift order last year. The upside of the cheaper route was about $500. The downside was a device that might not pass the Joint Commission survey. I kept asking myself: is $500 worth potentially failing an audit? The answer was no. We paid the OEM price. The device passed inspection without a single finding.

Why Understanding the Tech Changes Your Quality Judgment

  • Consider a vetted reseller when: you're replacing a known part, you know exactly what you need, you've verified their documentation practices, and you can get references from other customers. Be ready to ask tough questions. If they hesitate, that's your answer.

The conventional wisdom says "buy direct for quality, buy resale for price." What I've actually found: both channels can work brilliantly or fail spectacularly. The difference is documentation, support, and knowing what you're buying.

And honestly? If a supplier—OEM or reseller—treats your first order like a warm-up act instead of the start of a relationship, walk away. The size of your first order doesn't determine your value as a customer. It determines how they treat you. And that tells you everything about how they'll handle your first problem.
